Job Title: Personal Assistant\nContract Length: 12 months (Possibility for extension)\nLocation: Paddington, London fully on-site\n \nKey Responsibilities:\n\nPersonal and admins assistant for an Engineering Corporate Stakeholders\nCarrying out general administrative/secretarial duties assisting with Microsoft Office Systems (Word / Excel / Powerpoint / Sharepoint).\nAssisting with diary/calendar management.\nScheduling meetings and arranging travel through the corporate Amex system.\nProcessing team expenses through Concur system.\nCovering telephones: answering general calls into the department and rerouting to appropriate team member (various departments & other sites), taking messages\nHR admins - maintaining holiday and sickness records and inputting into holiday and payroll system.\nReporting faults to IT and acting as liaison.\nCompliance admins support\nInformation point for company policies (travel, expenses, entertainment).\nMaintaining document management systems (office related)\nTraining new and existing staff on systems (as required).\nBooking external training courses and managing related subscriptions/invoices.\nProviding support and cover for other office staff.\nCritical Skills and knowledge required:\nAbility to work on own initiative with minimal supervision.\nAble to prioritise and organize own workload to be able to deliver against deadlines.\nKnowledge of and high level of capability working with Microsoft systems, Ariba (invoicing/payment), Concur (expenses), AMEX (travel) or similar applications.\nPolite, professional, customer-orientated manner.\nAbility to represent the department to internal and external clients.\nExcellent English communication skills (both written and verbal).\nExcellent interpersonal skills to be able to liaise effectively at all levels. \nQualifications and education:\n Minimum Maths and English at GCSE or equivalent.\nPreferably educational experience beyond A-level or equivalent.\n \nExperience required:\nDemonstrable experience working in a similar role with an administrative focus.\nExperience of organising and providing administrative assistance in an office environment and managing a small office
